Calendar privacy

This notice describes the Google Calendar data handled by Lyravo Lux Fleet Calendar, a backend integration used by authorized fleet operators.

Access and purpose

With the calendar account holder’s authorization, the backend reads event titles, identifiers, reservation start and end times, booking status and vehicle mapping tags. This information is used to connect reservations to vehicles and display their occupancy. The integration requests the Google Calendar events read-only permission.

Storage and public display

OAuth credentials and refresh tokens are stored on the backend server; tokens are encrypted at rest and are not included in website JavaScript or public API responses. Stored occupancy records contain vehicle identifiers, dates, status and technical synchronization metadata. Full event titles, customer names, addresses, descriptions and guest lists are not stored in the occupancy database or displayed to website visitors.

Historical matching

Up to three years of historical vehicle labels are read to build a dated lookup dictionary of vehicle models and internal fleet numbers. This dictionary supports vehicle matching; calendar content is not used to train general-purpose AI models. Public occupancy views start with the current date and cover the configured future period.

Use and sharing

Google Calendar data is used for this fleet availability function, not for advertising or marketing profiles. Visitors receive only vehicle occupancy dates and status, without customer information. The use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

Retention and access control

Past occupancy entries are removed from the active availability cache; model mapping information is retained for matching. Calendar access can be revoked through the connected Google account’s third-party app settings. Revoking access prevents further synchronization. The fleet operator can request removal of stored integration credentials and mapping records.
